Jaipur, India · India time (IST, UTC+5:30)

A tender committee or distributor decides in about 30 seconds whether to read your company profile. Stock photos and invented numbers decide the other way. Here is the plain structure that works.

World Trade Park's blue glass towers in Malviya Nagar, Jaipur, under a cloud-streaked sky

When a tender, distributor or investor asks for your company profile, they are not looking for art. They are checking risk. Can this business deliver? Is it real? Will it cause trouble?

They decide that in the first 30 seconds. If the cover is a stock photo and the numbers look copied, the PDF is binned — no matter how good your factory is.

A profile that gets shortlisted answers four questions, in order.

1 · Who we are (page one)

Say in two short paragraphs: what the company does, who it serves and since when. Then show the office and plant as they are today — real buildings, real boards, real teams.

Do not hide your address. A verifiable address from Jaipur to any city is a trust signal, not a weakness.

2 · What we make (the middle)

One page per product family, with size, capacity and lead time. Buyers scan for the spec before they admire the design — a pretty page that hides the spec sells nothing.

If variants differ by price zone, show the table. If minimum order quantity matters, print it. Ambiguity here becomes a dispute later.

3 · Why us (proof, not adjectives)

Replace “world-class quality” with proof:

  • Certifications you hold, with the certificate name.
  • Throughput you can stand behind — units per day, cities served, lead time in weeks.
  • One or two named clients or project types (only with permission).
  • What happens when something goes wrong — returns, warranty, support hours.

Numbers you checked with your own team beat superlatives every time.

4 · How to buy (the last page)

Give the buyer who must act: email, phone or WhatsApp, address, and what to send for a quote (drawings, quantities, delivery city). A profile that ends without a next step wastes its own persuasion.

Print, PDF and web — three files, one story

  • Print PDF — CMYK, crop marks, fonts embedded, so any press can print it without phone calls.
  • Web PDF — compressed and text-searchable, so it forwards on WhatsApp and opens on a phone.
  • Editable source — in your name, with a simple template for price updates, so a price change never needs a full redesign.

Write it in the language your buyers use — English, Hindi or both in one system. Do not machine-translate as an afterthought.

The one-page checklist

  1. Real photos of plant, products and team — no stock people.
  2. Every figure checked with the owner before print.
  3. Four questions answered in order: who, what, why, how.
  4. Printer-ready PDF + searchable web PDF + editable source, all in your name.
  5. Ready weeks before tender season, not during it.

Do that, and your profile stops being a formality. It becomes the shortest sales meeting you ever book.
